Terms of Service

Version 2026-10-02. By creating an account and using Apply Pilot you agree to these terms.

1. The agreement

Apply Pilot is provided by the person or company that runs this Apply Pilot service (the "operator"). By creating an account or using Apply Pilot, including its website and browser extension, you agree to these terms. If you do not agree, do not use it. You must be at least 18 and able to enter into a contract. Your account is for you alone: do not share it or use it for another person.

2. Your information is your responsibility

You are solely responsible for everything you provide: your profile, resumes, headlines, answers to application questions, work authorization and any edits you make. You represent and warrant that it is true, accurate, not misleading and yours to use, and you will keep it up to date.

3. How Apply Pilot handles claims

Apply Pilot never invents claims about you. It drafts from your profile and checks every claim against it. A claim it cannot match to your profile is flagged, and approving it requires your explicit confirmation that it is true. Your confirmation is logged with your account, the time and the exact claims. Every claim is therefore either evidenced from your profile or confirmed by you, and you are responsible for both.

4. You review and send every application

Nothing is submitted, emailed, messaged or published for you without your own action for that specific item. The browser extension fills a form only when you start it, and you click the employer's Submit button yourself. Text written with AI (resumes, cover letters, answers, coaching) can contain mistakes. You must read and correct everything before you send it. What you send is your statement, not ours.

5. No promise of results

Apply Pilot is a tool to prepare, organize and track your applications. It does not promise interviews, offers, employment, pay, a number of matches, or that any application will be received, read or accepted. Match scores, fit percentages, keyword scores, reply tracking and statistics are estimates to help you decide; they can be wrong.

6. Job listings and employers are third parties

Job listings come from employers, staffing firms, job boards and emails sent to you. We do not create, verify or endorse them. A listing can be out of date, already filled, inaccurate or fraudulent. Check an employer or recruiter yourself before sharing personal information, and never pay anyone to apply for or get a job. We are not a party to any arrangement between you and an employer, recruiter or staffing vendor, and we are not an employer, a recruiter or a staffing agency.

7. Other websites and their rules

Applications are made on employers' own websites and application systems, which have their own terms. You are responsible for following them, for the accounts you create there and for anything those sites do with your account or application. Warnings Apply Pilot shows (for example that a role was already submitted through another staffing vendor) are for your information only and may be incomplete.

8. Email and mailbox access

Connecting a mailbox or forwarding email is optional. If you do, you allow Apply Pilot to read job-related messages to track replies and find roles sent to you, as described in the Privacy Policy. Mail forwarded to the shared address sits in an inbox the operator can open. You can disconnect at any time.

9. Acceptable use

You will not: provide false information or impersonate anyone; apply on behalf of another person; use the service for anything unlawful; copy, resell, scrape or reverse engineer it; try to access other people's data; interfere with it or get around its limits; or use it to send spam.

10. Plans, pausing and ending accounts

Access may be free or paid and may have an end date. The operator may change, limit, pause or end your access, or the service as a whole, at any time, including for non-payment, misuse, risk to others, or the end of a trial or test period. A paused account keeps its data. You can stop using Apply Pilot and delete your account and all of its data at any time from Settings. Fees already paid are not refunded unless the law requires it or the operator agrees in writing.

11. Your data

Your data belongs to you. It is kept separate per account and is never sold or shown to other users. How it is stored, what the operator can see and how to delete it is described in the Privacy Policy, which is part of these terms. Keep your own copies of your resumes and important records: the service is not a backup.

12. Provided as is

Apply Pilot is provided "as is" and "as available", without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy, availability and non-infringement, to the fullest extent the law allows. It may be changed, interrupted or unavailable, and data can be lost. It is in testing and features can change or be removed.

13. Not professional advice

Nothing in Apply Pilot, including its career coach, is legal, immigration, tax, financial or professional career advice. Answers about your right to work, visa status or sponsorship are yours to give and to get right.

14. Limit of liability

To the fullest extent the law allows, the operator and anyone working with the operator are not liable for: indirect, incidental, special, consequential or punitive damages; lost income, lost job opportunities or lost data; the decisions or conduct of any employer, recruiter, staffing vendor or website; a rejected, duplicate, late or unsent application; action taken against your account on another website; or content you provided or confirmed. The total liability for all claims about the service is limited to the greater of the amount you paid for it in the 12 months before the claim or USD 100. Some places do not allow some of these limits; they apply only as far as the law permits.

15. You cover claims caused by your use

If someone makes a claim against the operator because of information you provided, an application or message you sent, your breach of these terms, or your breach of another website's terms or of the law, you agree to cover the operator's resulting losses and reasonable costs.

16. Changes to these terms

These terms can change. When they do, the version date changes and you are asked to accept the new version before you continue. If you do not accept, stop using the service; you can still delete your account.

17. Law and disputes

These terms are governed by the laws of the place where the operator is established, without regard to its conflict-of-law rules. Before starting any formal claim, contact us and give us 30 days to try to resolve it. Where the law allows, any claim is brought only on your own behalf and not as part of a class or group action, and must be started within one year of the event it is about. If one part of these terms cannot be enforced, the rest still applies.
